The task component is designed to organise, prioritise, and manage tasks within a board in a structured and collaborative manner.
Tasks on the board represent items that let you:
- Add a title
- Add a description
- Apply status
- Categorise with tags
- Assign tasks to contacts/ team members
- Set start and due dates

Where to Find
The feature is available on the top toolbar. When selected, the options for the task card line colour are shown:
How to Use
A task can be added from the top toolbar or by pressing the keyboard shortcut [G]. Once the submenu opens and the colour is selected, simply click where you want to add the task on the board. The task card will be shown with the Title in text edit mode. The floating toolbar will show the options of pin and description, as well as the 'more' menu.
Once the title is entered, one click on the description button will create the space for description. The floating toolbar will look different now with the addition of a rich text button, and the description in the selected state.

Selection
One click on an unselected task activates it with a different toolbar:
Double-click on an unselected task card with no description, enters the title field in the text edit mode. The same happens if you double-click on an unselected task with the description in the title area.
Double-click on an unselected task with description in the description area of the task poster, enters the description field in text edit mode.
Non-selected state happens after clicking outside of the selected task.
Text edit mode
When a user is writing in the title or description, other participants should see the “tag” saying “user X is typing…”.
Resizing
User resize
You can resize the task field width in a similar way to other board elements. However, board tasks have a default minimum width, and their height is not manually resizable. Cards always “hug” content - they expand with the growing text field.
Content resize
Board tasks are adaptable to the content area that you define:
- Title: no character limit
- Labels:
- Status: one label
- Assignee: up to 3 labels
- Dates: one label
- Tags: up to 7 tags
- Label order always follows the same pattern: status, assignee, date, tags
Floating Toolbar Options
Pin
Pinning behaviour is the same as with the other objects on the board: you can modify a pinned task with all the floating toolbar options. Only task resizing and deletion are impossible.
Set colour
Clicking on the colour button allows you to change the task line colour and fill the background colour of the task field.
Set/Hide description
With deactivated description mode, this button activates the field for second-level text in the editing mode. When enabled description, clicking on the button makes the second-level text field disappear. If you want it shown again - click again on the same button.
Set status
This option facilitates better progress tracking on tasks. It comes in 4 variants:
- To do
- In progress
- Done
- Blocked
Once the status is selected, it is shown on the task card. Clicking on the set status button in the floating toolbar now shows the already selected status with a checkmark and a new option to remove status.
Removing status erases the status label from the task.
Set dates
You can add start and due dates, change them, or remove them from tasks through the dates card menu.
Set Tags
You can add tags, change them, or remove them from tasks. You can also create, edit, and remove existing tags.
Tag sets are defined per board, meaning they are not consistent across all boards, just the current board you are using.
It is important to note that there is a 40-character limitation and a 7 tags per card limit. Additionally, tags cannot be duplicated, and tag text has to be different on every tag on the same board.
When the text is entered and the colour is chosen, a new tag appears on the task (tick icon in the tag menu).
Once the first tag is created, there appears a new edit option.
When you select a tag you want to edit, you can either delete it or just change its text and colour.
When the maximum number of tags is reached, a message is shown indicating that no more tags can be added to the task.
Secondary floating toolbar
Similar to other board objects, permitted actions on tasks are:
- Pin object
- Bring to front
- Bring to back
- Duplicate
- Link (add link/ copy object link)
- Export (post selection as public status update; export selection as image)
- Delete
Set Task Assignee
Assigning tasks to board participants creates:
- board alerts
- email notifications
- home page notifications
- home page task feed

You can assign up to three board participants (or team members) to a task through the assign task menu. Assignees can be later changed or removed them from the task.
Clicking on the button in the floating toolbar shows the search field and the list of board participants. Once a person is selected, they are shown on the task card and also below the search field with an “x” next to them for removal.
When the maximum of 3 users is selected, a message appears indicating that no more assignees can be added.
Tasks on Boards
You will see all tasks and comments where you are mentioned on the left-side panel of your board. This view is opened with the task icon on the small board ledge to the left
Task assignees:
If you assign a task to a board participant, the task appears on the assignee’s Tasks panel as shown above
If you assign a task to someone who is not a board participant, the following notification will be displayed:
Task on Home Page
All your assigned tasks will appear at the top on your Conceptboard home page in the Your Tasks section.
All tasks can be filtered by multiple parameters:
grouped by
- state
- board
- project (board title will show at each task)
- none
sorted by
- due date
- alphabetically
Q&A: Legacy cards
Legacy cards on boards:
- will NOT be transformed into active tasks
- will NOT be shown in the board task list
- if already assigned, they will NOT appear in My tasks on your home page
- they will NOT produce
- a home page notification, or
- an alert, or
- an email notification - assigning legacy cards to new users will NOT lead to a task creation
- a copy of a legacy card will be converted into a task that is assigned to the same user that the original legacy card was previously. The assignee will receive all notifications and alerts typical of the new workflow
Tasks via comments on boards:
- New tasks created via comments will demonstrate identical behaviour and subsequent notifications as "card"-created tasks. They will be shown in My tasks feed on your home page

- What will happen to the assignees of legacy cards who are not board participants?
- Board access mode is "Everyone with link can access":
they can enter the board from the board redirect at My tasks - Board access mode is "Only specific users can access":
they will be re-directed on the No access page and require an access request

- Can I still use tasks for my old card targets and notes?
- Yes! All tasks can be used exactly as our old legacy cards, but be aware that assigning these new tasks will launch all default notifications
- What happens when I copy a legacy card?
- The copy of a legacy card will become a task that is attributed to the legacy card's original assignee
