JIRA Integration

Conceptboard brings JIRA directly to your boards turning ideas into action. Import JIRA tickets as tasks, manage status and assignees, and keep everything in sync.

Jira Integration is available to all PRO teams, Enterprise customers and On-Prem solutions
Important: JIRA integration is disabled by default. Please request your team administrators to enable this feature in Team settings

Add JIRA tickets to your board

You can access the search menu for JIRA in two ways.

1. Through the Connected services menu

The search bar for JIRA tickets opens automatically after login. To add any further tickets, open "Connect services" and proceed to "Import JIRA issues"

2. From the Insert -> Widget menu

  • Select Insert Widget

  • Then select JIRA Issues

Once you have access to the search menu for JIRA tickets, you can:

  • Select the JIRA space you want to see tickets from.

  • Using the top search bar, choose the tickets you wish to integrate.

  • Enable search by JQL query toggle at the top right of the menu if you want to use advanced search.

  • Select one or more tickets by ticking the interactive checkbox on the left

    • Scroll down to load more tickets. The list loads 20 tickets per one till-the-bottom scroll.

    • To select all tickets currently loaded by scrolling, tick the checkbox in the top-left corner next to the [TYPE] field.

    • To insert all tickets from the search results, first scroll down until all of the tickets have been loaded. Then select all tickets by ticking the checkbox in the top-left corner next to the [TYPE] field.

  • Select the Insert X issue(s) button.

  • The search menu will close automatically

  • The tickets are added as tasks

  • JIRA tasks will appear one by one, positioned across the centre of your screen

Important: we currently do not support JQL auto-complete or query suggestions. Queries must be typed in manually. If you leave the JQL search field empty, the integration displays the default collection of JIRA issues.

Task Synching

Important: JIRA task is disabled (greyed out) for all board users when syncing is in progress.
This step is implemented to avoid concurrent sync requests. While the task is disabled, no interaction with it is possible other than moving it around the board

It is only possible to sync one task at a time

When a JIRA task is syncing, three indications we show you this status on the board:

  • message at the top left corner of the board

  • copy of that message at the bottom of the task

  • the task is also disabled (greyed out) for all users in the board until that sync is done

If You Use an On-Prem Version of JIRA

Our JIRA integration is also available for on-prem solutions.

Please reach out to your Conceptboard account manager for further assistance with the setup. Our support team will require the following information from your side:

  1. URL of JIRA API (base_url)

  2. Exact version of your JIRA API (most frequently it is version 2)

  3. Please specify which type of authentication you would prefer:

    1. PAT: Personal Access Token

    2. Basic Authentication

Search Behaviour in JIRA and JIRA On-Prem

The simple search behaves differently depending on your JIRA deployment:

  • JIRA Cloud supports searching by issue key (for example, ABC-12) as well as other searchable fields

  • JIRA On-Prem uses an older JIRA API for simple search. As a result, it only searches the issue summary and description, and does not support searching directly by issue key

Important: This is a limitation of JIRA On-Prem API, not Conceptboard

Why am I seeing unexpected search results?

If you search for an issue key such as ABC-12, JIRA On-Prem may return other issues if that key appears in their summary or description (for example, as a reference to another issue).

For the most accurate results in JIRA On-Prem, we recommend using JQL (JIRA Query Language) whenever possible.

Important: The current version of the JIRA integration does not support JQL auto-complete or query suggestions. JQL queries must be entered manually. If you leave the JQL search field empty, the integration displays the default set of JIRA issues.

Troubleshooting

401 Error for unauthorized request

image-20260806-111138.png

Description:

  • Users cannot use JIRA integration

  • When opening a window to search for JIRA issues, an error message appears on the top left of the board

  • When trying to sync JIRA issues from or to JIRA, an error message appears at the top left of the board

Why does it happen?

JIRA API periodically disconnects

This is by design from the side of JIRA API. This behaviour is unrelated to the setup of Conceptboard’s integration

What should you do?

1. Disconnect your JIRA account from Conceptboard

Important: JIRA is only disconnected when the notification at the top left of the board says that JIRA was disconnected. If it doesn’t refresh the page and try again)

2. Re-connect to your JIRA account again

3. It should work now properly
