Voting

Our voting feature enables flexible voting types, clearer results, and a more intuitive, facilitator-friendly workflow across the entire voting session. You will find the voting tool in Widgets in the  '+' menu of the side toolbar:

Creating a New Voting Field

Only users with editor board access rights can create voting widgets.

Editors can add a new widget to the board by:

  • Generating a voting widget via Insert → Widgets → Voting
  • Converting any board shape into a voting widget
  • Create a voting widget from a selected set of objects

1. In the '+' sidebar, click on “Insert widget”, and drag & drop or double click the voting widget icon:

This will create a voting area on your board. If you place sticky notes, shapes, images or any other items within this area, they will become votable objects.

2. Multi-select votable objects on your board, right click, and select “Voting” > “Create voting widget”:

A voting area is automatically created around all of the selected items. These objects will now become votable:

3. Select a single shape on your board, right click, and select “Voting” > “Convert into voting widget”:

This is useful if you already have placed some items on the board.  Select the shape and convert it into a voting widget. The shape would be converted into a solid rectangle. All sticky notes, shapes, images or icons within this area will become votable objects.

Resizing the voting widget

When a voting area is in the selected mode, you can:

  • move it via drag&drop using the move handle (pointer turns into a cross), or
  • resize it moving the edges of the selection frame (pointer turns into a double-pointed arrow)

The voting widget behaves just like other shapes: you can change its colour, or convert it into a section, add description, etc. However, it can only be displayed as a rectangle, it cannot be rotated, and you cannot change its opacity.

Once converted into a section, all items within the voting field will become sub-entries in the section menu

Setting Up Your Voting Session

Once your voting field is created, you can now select three basic voting parameters:

  • Voting title
  • Type of voting
  • Votes per person

There are two available voting types:

  • Regular voting allows voters to distribute one or multiple votes across several options to prioritise or rank items

  • Approve/Reject voting gives participants a yes/no binary

Voting in Process

The moment a voting session is initiated, your voting field will show an extended header:

  1. Voting title
  2. Voting progress status
  3. Total number of votes per person and votes used (regular voting)
  4. "I'm done" toggle
    Editors and reviewers can manually turn ON the “I’m done” toggle to let the facilitator know they have finished voting. While the voting session is in progress, the toggle can be repeatedly turned off and on.
  5. Voting details show the number of un/used votes and an individual user voting status
  6. Reset/Remove menu (three dots): see Additional Actions

Incognito voting

All voting sessions are anonymous aka incognito

Starting a voting session will automatically turn ON the board incognito mode and disable the OFF option while the voting is in progress 

Voting Setup: Advanced Settings

Advanced settings let you exclude certain item categories from votable subjects:

You can also choose how exactly you wish to finish your voting session:

  • manually by you
    • click on “End voting for all” button, and after confirming the action, the voting changes to “Closed”. This action is available even if not all voters toggle  “I’m done” ON

  • by setting up a timer
    • Voting connects with the board timer. When time ends the voting is closed automatically.

    • Default time: 10 min

  • by the moment when everyone will have finished voting
    • When all editors and reviewers active on the board have toggled the ”I’m done” to ON, the voting session ends automatically.

The voting session creator/facilitator can always manually end voting by clicking the button “End voting for all”

Additional Actions (Three-Dot Menu): Voting "In Progress"

  • Reset: current voting session is deleted, votable item collection is ready for a new round (only creator/facilitator)

  • Remove voting: Goes back to previous version before adding or converting to voting, after confirmation (all editors)

Additional Actions (Three-Dot Menu): Voting "Closed"

  • Reopen: make voting active again with votes casted previously and “I’m done” toggle off (only available to the creator/facilitator)

  • Reset & start voting: Clear votes and start the voting again 

  • Remove voting: Goes back to previous version before adding or converting to voting

  • Export as image: Export your voting field as image

Voting Results and Restrictions

You can see the overview of your voting results in the board side panel

Access to voting and the scope of permitted actions is primarily determined by your board access role. Following restrictions apply:
