Internal Users
Internal users are members of your team that are within your company. In comparison to team administrators, internal users have a limited view of their Users page. They only have access to the My Contacts tab. My Contacts reflect the list of users of different team membership roles who have previously cooperated with the internal user on boards. They do not have the same rights as administrators in terms of account administration and management.
Internal user permissions:
- Create and share boards with users and guests.
- Create and share projects with users within the team.
- Invite users to join the team. More instructions in this Users Page.
- Only after Admins approval
Administrators will be asked to confirm that the new users can join the license. Please note, a request for adding an internal or external team member will first be sent to the administrator of your team. Once the administrator approves it, then the invitation will automatically be sent. Inviting a new user is billed as per your current subscription plan.
- Internal users can invite without admin approval
This means the administrator of your team has allowed internal users to add new users to the team without additional approval. Inviting a new user is billed as per your current subscription plan.
This means that internal users can increase the costs associated with your account. Learn more in our Billing FAQs.
External Users
External users are members of your team that are external to your company, such as:
- clients
- suppliers and vendors
- partners
- students
External users have a limited view of their Users page. They only have access to the My Contacts tab. My Contacts reflect the list of users of different team membership roles who have previously cooperated with the external user on boards.
External user permissions:
- Create and share boards with users and guests.
- Send invitations on the board level only. This means external users may only invite team admins and internal users to every board directly.
- Team admins and internal users can create a project and invite external users to the project itself where external users will gain access to all the boards within the project, even if the boards have not been previously shared with the external user on the board level.
- External users can create their own projects, but they are not able to invite users to their projects. All their project invitations will remain undelivered even if the invitation function is visually present (the case in point is a user being switched from the internal role to external).
- External users can transfer other users' boards to their own projects, although these projects will remain invisible and unaccessible to other users.
Note: The team option including internal or external users is only available for professional accounts.
